How Does The Process Work?

The first step is to call our office. Depending on your insurance provider, you may need a referral from your primary care doctor/pediatrician. We can let you know if that is needed. 

If no referral is needed (or is needed and has already been received) we will gather information from you over the phone, enter the patient into our system and send you online paperwork via the Therapy Notes Portal. You will log in with the patient’s birthday. You will see several forms that do need to be completed within 48 hours. Please read each form carefully. 

Client History Form - please have your child, if they are old enough, complete the form in their own words. If not, the caregiver is welcome to complete the Client History form on behalf of their child (the questions pertain to the patient not the caregiver).

We will be automatically notified when your paperwork is completed. At that time, we will submit your information for insurance's approval.  Once approval is received we will call you to schedule your first of two appointments. Your first appointment is not testing. Your first appointment is collecting information through interview and parent/child completion of measures assessing potential problem areas. For the first evaluation, the caregiver and any child age 8 or over need to be present. The first appointment takes approximately three hours; however, this length is an approximation. Depending on how long it takes the individual to complete the interviews and measures will play a large part in how long the first evaluation session lasts. Please allow for approximately three hours for this appointment while knowing that it could take less time than that.

For most insurers, the information collected at the first appointment must be submitted for insurance authorization to proceed with the testing portion of the psychological evaluation. This process takes approximately two weeks. Once we have obtained insurance authorization from your insurer, we will schedule you for your second session, which is the testing session. Again, please allow approximately three hours for this session while understanding that it could be less based on a variety of factors that we have no control over (e.g., how long it takes an individual to complete testing, how much testing they need, their age, number of breaks needed, etc.).

After you have completed your testing session, you are most likely done with the evaluation and your report will begin being prepared. It takes approximately ten weeks after your final appointment for you to receive a written report which will be sent to you on the Therapy Notes Portal (reports will not be physically mailed to any address). In rare cases, Dr. Allen will request to see a patient for a third and final session; you will be notified by our office in that event.

 

Upon Arrival:

  • Sign In

  • Complete Medication List (If no medication is prescribed, put name and N/A)

    • Do not take ADHD medication the day (morning/afternoon) of your appointment.

    • Please continue to take all other non-ADHD medications as prescribed.

  • There is extensive paperwork to complete (physical and electronic assessments as part of the comprehensive evaluation).

  • It is strongly recommended not to bring other children to the evaluation (there is a significant amount of paperwork and discussion that requires consistent focus and attention. No childcare is provided.

  • If the patient/caregiver is an English language learner, an interpreter needs to accompany the patient to the evaluation. The interpreter must be 18 years of age or older. This is important so the patient can receive the best service possible; we want to ensure that questions and assessments are answered correctly for accurate results.

  • Reports take approximately 10 weeks after the final appointment date. You will get a notification in your email when your report has been uploaded to your Therapy Notes portal.

  • Your co-pay could change after your first appointment (this is beyond our control as your insurance company dictates and controls this)

  • No-shows will not be rescheduled.
